Administrative Assistant

Department: Office Admin.

Reports To: Office Manager

Summary of Position

Administrative Assistant duties and responsibilities include providing administrative support to staff & Manager. Supports managers and employees through a variety of tasks related to organization and communication. Familiar with a variety of the Office concepts, practices and procedures. Ability to effectively communicate via phone and email ensuring that all Administrative Assistant duties are completed accurately and delivered with high quality and in a timely manner. Rely on experience and judgment to plan and accomplish goals and a wide degree of creativity and latitude is expected. The Administrative Assistant must work well with the team and customers to continuing the company's success and growth.

The Administrative Assistant will: 

  • Organize and schedule meetings, appointments and daily logs into builder Trend as directed.
  • Maintain contact & Vendor lists
  • Maintain monthly floor schedule as approved by Manager
  • Produce and distribute correspondence memos, letters, faxes and forms as directed.
  • Run various errands as requested by Management.
  • Provide general support to Managers and Employees 
  • Take accurate notes & minutes in meetings, to include Office & Sales meetings
  • Handle multiple projects as directed by Management.
  • Ensure operation of office equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques
  • Contribute to team effort by accomplishing related results as needed
  • Carry out administrative duties such as filing, typing, copying, binding, scanning etc.
  • Cover the reception desk when required and/or needed
  • Handle sensitive information in a confidential manner

Sales/Design Consultant

Summary Of Position

The Sales/Design Consultant’s primary function is to sell the products and services we offer to both walk-in customers and self-generated leads. The Sales/Design Consultant is expected to profitably grow sales through the development of relationships and by prospecting for new accounts and increasing opportunities with existing customers. This is a full-time position, with an expected minimum of 40 hours per week.

Essential Job Requirements

The selling process consists of using sound selling techniques and skills to comprehensively explain product and installation specifics, perform material requirement estimates and take-offs, calculate job pricing, close the sale, collect payments, and additional duties required to offer exemplary service to all customers. The Sales Manager will work with you to determine written yearly volume and margin sales goals. These goals will provide benchmarks for determining acceptable levels of selling. In addition, you will be required to keep track of personal statistics for closing ratios.

A successful Sales/Design Consultant will generate his or her own leads through many avenues outside of walk-in traffic, including cold-calling, membership in various organizations, direct mailings, and the like. At no time, will walk-in leads be the sole source of lead generation for the Sales/Design Consultant.

In addition, the following activities are required of this position:

  • Work five shifts per week, including at least two Saturdays on the showroom floor. Your schedule will be given to you monthly. Such floor time will include on-time opening and closing, answering phones, greeting all customers, putting away samples and keeping up the overall appearance of the showroom, operating cash drawer and credit processing equipment, as well as any other duties deemed necessary.
  • Prospect for outside customers as mentioned above, when not working on the showroom floor.
  • Perform the essential requirements in the selling process: jobsite estimates on all products, take-off blueprints, specify products for both residential and commercial projects, write-up proposals, contracts, work orders, and repair orders, and schedule installations with the Production Department. Other duties include providing warranty and maintenance information, and continuous and thorough follow-up to ensure outstanding customer service.
  • Continuous education to include attendance at all Product Knowledge trainings, Sales Meetings, off-site Seminars and Training offered by management, interaction with Vendor Sales Reps, reading trade journals, and any other type of self-education available to you.
  • As a Sales Professional, you are expected to keep both yourself and your work area neat and professionally presented.

Required Education

High school diploma or equivalent.

Required Experience

A minimum of three years of sales experience is required for this position. Industry knowledge in construction, floor coverings, window coverings, interior design, plumbing, electrical, countertops and/or cabinets is highly recommended.

Required Skills

Exemplary interpersonal and selling skills are required for this position. In addition, organizational and analytical skills must be above-average.

Physical Requirements

Must be able to stand, walk, and sit for eight hours per day, lift 20 pound stone and tile samples, see price lists and blueprints, interact in conversations with customers, and be able to drive one’s own car to off-site appointments.

Mental Requirements

Must be able to do high school level math, read and carry out complex written instructions, and write complete and comprehensive letters and proposals.

Working Conditions

Work is primarily performed indoors, but does include travel to job sites, training, customer’s locations and more. Employee must provide own licensed, and insured transportation to and from such destinations.

Job Type: Full-time
Pay: $37,000.00 - $82,000.00 per year

 
 


Ordering & Data Entry Specialist 

Department: Office Admin Reports To: Office Manager

Summary of Position

Order Specialist has the responsibility to receive sales orders daily and accurately order materials for jobs and stock inventory. The individual works closely with the warehouse department to ensure that every order is received and delivered on time. A basic accounting skill and the ability to handle changing scenarios are necessities for this position. The ability to anticipate problems before they happen are also essential for success in this position. The employee must work well with the team and customers to continuing the company's success and growth

Data entry specialist has the responsibility to enter all data accurately & efficiently, to include inputting and updating customer information into Quick books & Builder Trend with 100% accuracy 

Essential Job Requirements

The Employee will: 

  • Oversee all Job material ordering functions to include stock material. verify pricing & follow up on ETA for production staff.
  • Perform related work as assigned.
  • Data entry of sales orders into quick books & change orders into Builder Trend
  • Data entry of daily logs into Builder Trend
  • Create & file Purchase orders
  • Maintain showroom pricing & drops to include follow up with Vendors & reps
  • Responsible for receiving & entry into quick books 
  • Respond to service provider/vendor calls, emails in a timely manner
  • Maintain awareness of current Abbey promotions & sales

Required Education

  • High school diploma or equivalent is required. 

Required Experience

  • A minimum of 1-year construction or similar experience is preferred for this position. 

Required Skills

  • Knowledge of mathematics, including measuring, counting, addition, subtraction, multiplication and division, calculate ratios, percentages, and dimensions with and without the aid of a calculator, algebra, geometry, and their applications.

Warehouse Shipping & Receiving Specialist

Department/Division: Operations

Reports To: Operations Manager

Summary of Position

The Classic Design Warehouseman will oversee the organization and utilization of the warehouse as well as general building maintenance of the Lodi headquarters building.

Essential Job Requirements

Employees in this job will:

  • Oversee all warehouse and building maintenance functions
  • Maintain the warehouse by keeping it cleaned, swept, and organized
  • Unload incoming materials and load outgoing materials utilizing forklift as needed
  • Maintain staging area for outgoing materials
  • Pull all purchase orders daily for expected delivery and notify Order Desk of all expected materials that did not arrive
  • Receive all delivered material by verifying type and quantity expected, inspecting for breakage and ensuring complete and accurate receiving
  • Attach packing slips to purchase orders and turn in daily with material location
  • Replace lightbulbs, put together display racks, empty trash cans and other light building maintenance functions
  • Count stock materials for periodic inventories
  • Perform related work as assigned

Required Education

High school diploma or equivalent is required

Required Experience

A minimum of one year of related experience is required for this position. Forklift certification is required.

Required Skills

  • Mathematics- Knowledge of mathematics, including measuring, counting, addition, subtraction, multiplication. and division, with and without the aid of a calculator.
